Hawaii 2010 Conference Updates

Message Name Remember to sign up for the 2010 International Conference
Message Number 1
Message Update Date 3/2/1020
Message : Remember to sign up for the 2010 International Conference in Hawaii, July 5-9! The deadline for the Early Bird registration is next Wednesday, March 10th. You can get all the Conference information and register on-line at www.ninetynines.net/hawaii2010. You can also print out the registration form that is on the website or you will find one in the latest issue of the 99 News (the one with Hilary Swank on the cover). March 10th is also the deadline to be in the drawing for a complimentary Saturday night Prime Rib Buffet dinner for two at the Sheraton Keauhou Bay's Kai Restaurant. There will be two of these awarded for members who are registered by then to stay at the hotel on the Saturday night before or after the Conference (July 2nd or 10th). Staying over both Saturday nights? Then you will get two chances to win! If you have your room booked and are sharing that room with another 99 registered for the Conference, TPI (Travel Planners Inc.) needs to be informed for their records, to be sure rooms are assigned with correct bedding requirements and to avoid double bookings. We will have a Roommate Register for those who have already booked a room and would like to share it with another 99, or if you would like to share a room with someone who has space. E-mail Carol Vautin at vautin@verizon.net to put your name in the register. Let her know what category room you have or are looking for. From this point on, we will be making weekly announcements, advisories, and the latest news on the 99s E-mail Network only, so if you are not on that network, please sign up quickly at the following page: http://www.ninety-nines.org/index.cfm/email_networks.htm. Message Aloha! 1) The winners of the drawings for Sheraton Keauhou Bay’s Saturday Night Prime Rib Buffet Dinners for 2 are Barbara Harris-Para, Garden State Chapter, NY/NJ Section and Nancy Ramseyer, Connecticut Chapter, New England Section. Congratulations to you both! 2) Some clarification of the Mauna Kea Summit & Stars Tour and the Morning Snorkel Tour: The observatories at the top of Mauna Kea are not open to the public. They are generally unmanned (or womanned) and are remote controlled by scientists in the Hilo area. However, seeing the various observatories from many nations there (due the height & clear air) is an amazing sight, along with a beautiful sunset. You are then taken to a somewhat lower elevation for stargazing. It is cold at the top due to the elevation (almost 14,000 ft) and the wind chill, so even though you are given a parka and mittens, you’ll still want several layers of clothes. The Morning Snorkel tour is basically a party boat and you are not required to snorkel. You will have a continental breakfast on the way down to the Captain Cook Monument area, passing the hotel where those of us not able to make that trip will be waving at you. When the boat drops anchor in the bay, folks are welcome to snorkel, sun on the deck, just swim, or use their slides and diving boards. The only caveat is that there will be no bathing suit pictures! If you look great in a bathing suit, please just stay back at the hotel for the sake of the rest of us. On the way back, there will be grilled hamburgers for your lunch. Please remind everyone in your Chapters and Sections that will be going or are thinking of going to the Conference in July to be sure to be on this e-mail network for weekly updates and information.

Message Remember that on-time registration ends May 1. Late registration will be available after that, but at a higher rate. Hopefully, everyone has their airline reservations made. As far as other transportation goes, here is what you need to know: Transportation to/from hotel: 1) You can take a taxi, but there aren't many available. Expect $40-45 each way. 2) You can take the Speedishuttle, and they have a discounted rate for 99s. You may call them toll-free at (877)242-5777 and let them know that you are with the 99s. Examples of fares are 1 person pays $33.57 arrival fare (airport to hotel) and $32.58 departure fare (hotel to airport) for a total of $66.15. 2 people with the same travel schedule pay $36.15 & $35.09 for a total of $71.24 ($35.62 each total). They can take up to 12 people at a time and the rates per person come down with the more people you have making their reservations at the same time. Rates include airport & sales taxes, but not gratuity. Suggested gratuity is around 15%. 3) You can rent a car from several rental agencies, and there is a discounted rate for 99s at Hertz. You will need to go on the Conference website, www.ninety-nines.net/hawaii2010, select On-line registration on the left side (don't worry if you've already registered, all you have to do is go to the Rental Car section and click on the link). Normal self-parking at the hotel is $10/day, but 99s have a special rate of $5/day. Be sure to let the person at the hotel registration desk know you're with the 99s when you check in. Transportation during the conference: 1) You will be able to rent a Hertz car either through the web site or on-site from Hertz for one to as many days as you need. 2) There is a trolley that goes to Kailua-Kona, passing shopping centers, beaches, shops, etc. It runs every hour & one-half. The schedule will be in your registration packet or availably from the hotel. You will need to get free passes as a hotel guest from the hotel front desk or the bell stand. It picks up on the first floor at the parking lot. 3) There will be limited transportation for handicapped individuals or those who can't make the 5-10 minute walk to the Keauhou Bay dock for the ocean activities and tours. You’ll need to let us know at martha99s@yahoo.com. As always, call Martha with any questions, 805-498-9852. Remember, 10 MORE WEEKS TO PARADISE!

Message Want to take a helicopter training flight with an instructor and log the time? Mauna Loa Helicopters at the Kona Airport has offered 99s the opportunity to take an introductory lesson that normally goes for $360, but is discounted for our group. $265 total includes the rental of a R-22 helicopter and instructor for either an introductory flight, training flight, or recurrency training for a 2 hour block which includes a 30 minute classroom instruction and a minimum of 1 hour of flight. Another option: $465 total includes the rental of a R-44 helicopter and instructor for either an introductory flight, training flight, or recurrency training and includes allowing the 99 (either student or rated pilot) to bring along 2 other people on the ride since it seats 4. The 2 hour block includes 30 minutes of classroom instruction and a minimum of 1 hour of flight. Both types of flight include a signed logbook entry by the instructor. Contact Ben Fouts at Mauna Loa Helicopters to make your appointment: 808-334-0234 or ben@maunaloahelicopters.com. If you need to have multiple copies made for any meetings at the Conference, you can contact Faye at OfficeMax for a quote. Be sure to tell her you are with the 99s Conference at the Sheraton, a non-profit organization and she can get you a quote on the printing. Her number is 808-329-1907 or e-mail her at impress1341@officemax.com. Even though the on-time registration ended on May 1st, it’s not too late to join us. Registrations will be accepted up until the week before the Conference; however, we can’t guarantee that you will get the category of room or be able to join tours if you wait too late. Just don’t miss the fun!

Message A quick correction on update #7: The R44 helicopter rental from Mauna Loa Helicopters is $495/hr, not $465/hr. You might want to print out an Excel spreadsheet of the Hawaii schedule put together by Marjy Leggett of the Mid-Columbia Chapter, Northwest Section. Go to the Conference website www.ninetynines.net/hawaii2010 and click on “Print out a schedule” on the left panel. It’s great for keeping track of all the activities you have signed up for. You can even color code it by coloring in your schedule, your guest’s schedule, and your combined schedule. Thanks, Marjy! The 2-hour Sunset Sail on Tuesday, July 6th, is almost full. FYI, the 2 hour cruise will include light appetizers (vegetable crudités with dip and dry snacks) and a no-host cocktail bar. Departure is from Keauhou Bay and guests will walk to and from the vessel, approximately a 10-minute walk. Sunset on July 6th and 8th will be 7:08pm. There are restrooms on board the vessel. If you have difficulty walking and need a ride, let us know by e-mailing martha99s@yahoo.com. We can then schedule when we have to get you to the marina. The Volcano Bus Tour on Thursday, July 8th is also filling up fast, The itinerary includes stops at a Coffee Plantation, lunch stop, Volcanoes National Park (Crater Rim Drive, Jagger Museum, Thurston Lava Tube, & Steam Bluffs), Akatsuka’s Orchid Farm, Big Island Candies, Hamakua Coast, and Parker Ranch. The bus will pick everyone up at the Sheraton bus/shuttle stop.

Message Julie DeLeon of Travel Planners Inc. wanted us to let you know that some of the tours are sold out (Ocean Kayaking on Monday, 7/5; Sunset Cruise on Tuesday, 7/6); Volcano Helicopter Tour on Thursday, 7/8)some are in danger of being cancelled due to lack of bookings (the ones with minimums), and others are very limited in space still available. If there is a particular tour you would like to take, now is the time to finalize your booking to guarantee space. Send an e-mail to Julie at 99s@tpires.com to secure your tour(s). There are also some who have not indicated their preference for meal selection(s) at the combined Scholarship and Award Banquet on Wednesday night, July 7th. This particularly applies to the folks who signed up in Chicago. The choices were printed in Update #2, March 26th. If you don’t have that one and can’t get it out of the e-mail archives, let Martha know at martha99s@yahoo.com to get the full menu. Once you have made your meal selection, let Julie know at 99s@tpires.com. Don’t forget that for those who are seeking a roommate at the Sheraton Keauhou Bay (whether or not you have already booked a room), you can e-mail Carol at Vautin@verizon.net. Let her know the days you will be there, smoking or non, type room you prefer, etc. This Conference is actively seeking Sponsors and Donations; please let us know if you have any suggestions or want to participate as a Sponsor or Donor. Message The Monday afternoon presentation that we originally called “Island Lore” is actually a Hawaiian cultural presentation that will be given by Lily Dudoit, the Cultural Representative for the Sheraton. She enjoys sharing her heritage and the unique items and site remnants located on the Sheraton property. The group will meet at 2:30 on the 1st floor between the Coffeehouse and the Fly Market. During the event on Monday, there will be a traditional gift-giving to the land from our group, a chant/blessing to begin our Conference, and a cultural and historical presentation. A small part of it will involve walking around some areas with mild rocks which you don’t have to do if you would be uncomfortable with it. This will repeat on Thursday afternoon, but without the gift-giving and chant/blessing, and will meet in the same location to start off. To share the rich culture and history of Hawaii with guests, Sheraton Keauhou Bay adopted Halau Kala’akeakauikaweklu, a respected and growing hula school that holds its practices on the resort grounds. While we are there, the keiki (children) group will be practicing from 4:00-5:30pm on Monday, the 5th by the Conference Center (right after the Cultural Presentation above). Guests are welcome to sit, watch, enjoy, and take photographs as the keiki work diligently with their kumu (teacher) to perfect intricate hand and foot movements while expressing the emotion of hula. And, as if you didn’t have enough to do, there are some activities that go on at the nearby Keauhou Shopping Center, a short trolley ride away. You will be given a trolley schedule when you arrive and you can obtain free passes from the hotel registration desk or the bell stand. For example, on Fridays, they have ukulele and lei-making lessons from 10-12am and a 6pm free Hula show. Other activities will be posted on their website as we get closer to the date, www.keauhouvillageshops.com. You can go to this site to learn about their shops, such as Long’s Drug Store, movie theater, grocery store, and restaurants. We’ve been asked to put all the Hawaii updates on the Conference Website, www.ninetynines.net/hawaii2010. Look at the left pane for “Conference Updates” (right under “Home”) and click on it to get a list of the past updates just in case you need to refer back to one of the older ones.

Message In Hawaii Update #5, we gave you the hotel’s charge for receiving packages that you may need to send. You will also need to know the proper way to address your packages. Send them to Sheraton Keauhou Bay Resort & Spa, Attn: Suzy Cuaresma, For 99s Conference/(put in person’s name), 78-128 Ehukai Street, Kailua-Kona HI 96740. On Tuesday night, 7/6, there are 4 group get-togethers scheduled. If this is your first time to attend a 99s International Conference, you’ll attend the First-Timers Group. Meet with the Under 35 Group if you qualify, and the Off-Shore Group will welcome our members from countries other than the United States and Canada. These 3 groups will meet at the Crystal Blue Terrace, a large multi-level area, and if you qualify for more than one group, you can switch back and forth. There will be no food served, but there is a nice bar there and individual appetizers (pupus) can be ordered if you wish. The hotel sometimes has some discount coupons for drinks or appetizers so be on the lookout for those. The AWTAR/ARC (All Women’s Transatlantic Air Race/Air Race Classic) alumna will meet in the Hospitality Suite. All group meetings are 8:00-9:00pm in order to give the large number of people who are going on the Sunset Cruise time to get back to the hotel. We’ve been asked about dress codes for the events. Wear your wildest tropical garb to the Luau. The Banquet is a bit more formal and dressy, and that is one reason for having one banquet that combines the 99s Annual Awards and the AE Scholarship Awards….not having to bring 2 separate dressier outfits. Remember that there will be a lot of pictures taken that night, so keep the lipstick on and the ties straightened! 4 more weeks!

Message A fun and exclusive event on Monday, the 5th, will take place in conjunction with Registration. Hilo Hattie - "The Store of Hawaii " will be setting up a Shirt Shack from 1pm - 5pm in the Lobby to give you convenient shopping for your authentic Hawaiian shirts, pareos, and other items such as souvenirs and home accessories. Wear your new outfit to the Luau or other events during the Conference! You will receive a 20% discount off Hilo Hattie-labeled garments and coupons for shopping in their store in town (or on the other islands you might be visiting). Hilo Hattie will also have beautiful tote bags with our Conference logo on them for sale for only $12.00. They would make good presents for some of your Chapter members who couldn't make the Conference, but who helped with your Chapter's Conference assignment. The only restaurant at the Sheraton that is open for lunch is the Manta Ray Grill which would normally be sufficient for the number of guests that are in the hotel at that time; however, we were concerned that after the Business Meeting on Wednesday, the 7th, our attendees would not be able to get lunch in time to attend the Keynote Speaker’s seminar (“Mimi” Tompkins). The hotel graciously accommodated us by providing us with a “box lunch” event that would allow us to purchase light lunches outside the Convention Center where they will have tables & chairs set up in the lawn area under some beautiful shade trees. Since it is an outdoor event, you will be able to purchase the following, but note that it is for cash only. Lunch Concession Menu, $10 for Each Item 1. Somen Salad (Japanese Cold Noodles with Orange Ginger Dressing with Fresh Vegetables) 2. Fruit Plate (Cantaloupe, Honey Dew, Pineapple, Grapes with Vanilla Yogurt) 3. Waimea Mixed Greens with Big Island Tomatoes & Glazed Walnuts with Balsamic Vinaigrette 4. Tuna Salad Sandwich with Avocado Salsa & Sprouts with Kona Potato Chips 5. Turkey with Swiss Cheese on Multi-grain Bread with Kona Potato Chips Assorted Soft Drinks/Juices/Water, $3 Each Check out the Sheraton webcam for a preview of coming attractions: http://www.seehawaiilive.com/skea-cam.cfm Martha Phillips & Carol Vautin, Co-Chairs, Hawaii 2010

Message 2 more weeks to go, so start your packing list! Be sure to include: ___Membership Card ___Delegate slip(s) to turn in for your Voting Cards Another thing you might want to bring is any medication (allergy type or other) you might need if you have breathing problems. Depending on the direction of the wind, sometimes the smoke from the Volcanoes National Park can be present on the Kona side (they can drift as far as Honolulu). They call it VOG, for Volcano Fog/Smog. We’ll ask Madame Pele to keep it on the other side of the island, but she is not always cooperative. For those of you who have decided at the last minute that you really, really want to come join the fun, we noted that Travelocity has a current flight/hotel deal that includes round-trip flights from LAX and 4 nights at the Sheraton Keauhou Bay for two people that would come out to a bit over $900 for each of you. If you can’t find it on Travelocity, let Martha know at martha99s@yahoo.com and we’ll get that information out to you.

Message The final schedule for the 99s’ Hawaii Conference will be updated on Monday and on the Conference website, www.ninetynines.net/hawaii2010, by Tuesday. One of the changes to the schedule is the time for the seminar given by Laura Donnelly, Deputy Operations Manager (Acting), Prescott Hub, Lockheed Martin Flight Service. She will make a Flight Services presentation at a seminar on Thursday, July 8 at 10am and will host a table at the Fly Market Tuesday & Wednesday for one-on-one discussions with attendees. Reminder for those going on the cruise: You must fill out your “e-docs” online at www.ncl.com/myncl and fill out the Advance Guest Registration Form. It is also very important that the name on your cruise documents match the name on the ID you will be using. We need to know if you will only be attending the Annual Business Meeting on July 7th so that we can assure that we have enough seating available. E-mail Martha at martha99s@yahoo.com with that information. Another thing that would be helpful is to know is if any of our registered attendees and/or guests will not be attending the Luau on Monday, the 5th, or the Awards/AEMSF combined Banquet on Wednesday, the 7th. Also, if you have booked room nights at the Sheraton Keauhou Bay Resort directly or through travel sites like Travelocity and Priceline, we need to know because we still get credit for those reservations. We get concessions from the hotel based on the number of room nights booked and that financially benefits the 99s. Please notify Julie DeLeon at Travel Planners Inc., if you have not already done so, at 99s@tpires.com regarding the Luau and/or Banquet or the room nights. Any last minute questions? You can e-mail Martha or Julie at the above e-mail addresses.

It got returned to us with a note that it needed more postage, a return address was required, and the coconut was not properly acceptable per Agriculture rules. Are you able to help me find out who was trying to send this? If I can connect with them directly, I can work out the details with them. Thank you so much! Always with Aloha, Lily Dudoit”
